AP Processing

* Process invoices in BPCS through three way match (key from image). This involves the processing of debit and credit notes.
* Coordinate invoice repatriation.
* Action any invoice processing blocks in VISTA (e.g. problems with purchase order, vendor master etc) by contacting relevant party (e.g. requestor, GOA approver, purchasing department, etc.)
* Manage Vista workflow process
* Manage internal payment interface processes, and work to resolve any error sessions for invoices processed via interfaces and data feeds.

Vendor Inquiry/Business Unit Services

* Enforce the Project Crystal corporate procurement policy by producing compliance reports for business unit management, and following up on outstanding items.
* Provide internal and external audit support (e.g. client assistance schedule completion, detailed query support and process training/explanation for auditors) including supporting management response & resolution.
* Run month end accrual reports and create accrual journal.
* Run 'Aged Payable Trial Balance' and 'Invoices On Hold' reports and follow up any outstanding items older than 60 days.
* Provide supplier support and query resolution via phone and/or e-mail.(Australia team so far)
* Forward invoices for resolution through Vista workflow
* Analyze the problem vendor accounts and work to resolve vendor issues

Payment and Treasury Requests

* Prepare for the payment cycle by creating a proposal, securing approval from Project Crystal as needed and generating the payment selection report. Coordinate any individual invoice payment/vendor payment holds at the request of finance departments in the market areas.
* Transmit approved payment instructions to Citibank via Citidirect/CitiLink. Print confirmation report and obtain sign off from the Project Crystal treasury team.
* Process FX payments in Citidirect and receive confirmation on foreign exchange rates. Process the rates into BPCS for manually closing off paid invoices.
* Perform urgent payment requests via e-mail/payment vouchers from market areas. Coordinate wires and EFT payments. Perform voids, reissues or returns as needed.
* Review Citibank report for stale checks and commence recovery as needed. Identify checks to be stopped, issue stop instruction with statutory paperwork, coordinate approved repayment and recover funds from Citibank.
* Record and track daily and monthly cash activity such as review of wire payments, and follow up on any open reconciling items.

Travel & Entertainment

* Review T&E claims as per BMS guidelines. Process and pay hard copy/electronic T&E claims.
* Manage internal T&E interface process and work to resolve any error sessions.
* Confirm the receipt of original T&E receipts and associated paperwork. File the expense reports and supporting documentation.
* Monitor and respond to routine T&E inquiries by employees or escalated by the Project Crystal Help Desk. (Australia team so far)

Job Description

:

Perform manual validation of financial announcements (e.g., cash dividends, stock splits, mergers, tenders, etc?) and modify/create Corporate Action events based on review of automated/non-automated sources.

Key responsibilities may include:

* Validate, compare, and analyze financial announcements from multiple vendor sources
* Ensure that the state of each record for each announcement becomes both clean and complete and ready for approval
* Add data to incomplete records and resolve in-conflict records using all available sources (e.g., data vendors, web sites, investor relations departments, stock exchange notices)
* Makes calls/inquiries to paying agents, depositories, companies to acquire/confirm data
* Gather and review Custodian data, using automated and manual means (i.e., swifts, email and telephone)
* Research all announcement cancellations
* Prepare audit trail of actions taken and file/record supporting documentation
* Research requests and provide product/referential data support
* Stay current with ongoing procedural changes

Customer Advocate is a critical role for Service Order Management process and provide critical information to NCR sales team.

Detailed Tasks:

Policies

* Maintain procedures in compliance with NCR policies

Service Order Management

* Perform Pre-Billing Verification process
* Request and track suspended CFS/D1 contracts
* Submit cancellations for twilight or discontinued products
* Administer warranty process (initial equipment file and contract requirements, expirations)
* Price Quotes (uplifts, discounts, bill frequency, header adj., site pricing, and zone uplifts)
* Resolve A/R issues as related to maintenance billing
* Resolve invoicing discrepancies
* Receive CS service information from the customer and submit to the Billing Operations Center
* Additions and correction of master customer numbers and site number alignments
* Review legal agreement for completeness of Terms & Conditions for maintenance billing
* Review CFS/D1 contract/quote for completeness in compliance with the legal agreement
* Verify and communicate invoice preferences to the BOC per the customer
* Develop and maintain CAMMs (Customer Advocate Mini Manuals)
* Adherence to the corporate cancellation process (obtain proper approvals)
* Research and create site codes / For Use At #'s (FUA)
* Support of Accenture SCA/AR
* CA attend to SCA/AR concerns and issues on an customer account.

Archiving, Records Retention and Audit Support

* Provide archiving and records retention in accordance with NCR policies and NCR practices.
* Provide internal and external audit support as requested

Key responsibilities may include:

* Policy - adhering to procedures in compliance with CLIENT policy
* Provide Internal & External Audit Support, review support, etc.
* Accurate transaction execution consistent with CLIENT Revenue Recognition policies and procedures.
* Record retention, EOJ, etc
* Support eSCM, Process improvement and other initiatives
* Provide support in resolving queries and issues
* Comply with SLA requirements on TAT and accuracy
* Emails / Voice mails or any other communication from the customer to be responded promptly
* Participate in meetings, calls ,etc as required
* Escalation procedure to be followed
