With such a wide range of roles, Facilities & Services is a very diverse team of professionals, with a wide range of backgrounds and experience.  What they have in common is the ability to communicate well with people at all levels and an enthusiasm for solving problems.<br/><br/>An Executive Support Assistant provides professional secretarial and administrative support to various executives and independently completes a variety of assigned tasks (including transaction-based) to meet goals under general supervision and/or established guidelines, working in a team environment. He/she applies secretarial and business knowledge and skills to execute tasks to provide high quality service.  He/she may share executives' responsibilities with a team or may serve as the primary support and acts as a liaison between the executive and his/her organisation.  Where applicable, the level of support requires a good understanding of the executive's organisation and clients.<br/><br/><b>Key responsibilities may include</b>:<br/>? Providing basic telephone support according to local guidelines; acting as executive's representative to independently handle calls<br/>? Assisting with miscellaneous administrative tasks / services according to local guidelines including reserving workspace, faxing, ordering supplies, completing forms, providing archiving support, maintaining information in databases, handling executive mail, invoicing / reconciliation of accounts, assisting with Time and Expense<br/>? Assisting executives in the use of company self-enabling tools including travel, reservations, and conference calls<br/>? Arranging conference calls, video conferences or data conferences<br/>? Drafting, transcribing or translating documents and correspondence under direct supervision<br/>? Assisting with the preparation of presentations, proposals and client deliverables<br/>? Providing research support and information gathering<br/>? Arranging meeting logistics in liaise with the Meeting and Events Planning team, where appropriate<br/>? Arranging or coordinating travel arrangements and assisting with itineraries and visa/passport procedures<br/>? Assisting with calendaring/scheduling of appointments<br/>? Communicating with executives on status of tasks and deliverables<br/>? Maintaining voicemail and email distribution lists<br/>? Coordinating work with internal and external third-party suppliers at the request of the executive or supervisor<br/><br/>Qualifications<br/><br/>? 2+ years of secretarial and administrative experience (preferably in the F&S environment) or recent graduate of an accredited secretarial/business school<br/>? Good knowledge of Word, Excel, PowerPoint and internet; may also require working knowledge of other software applications<br/><br/>Professional Skill Requirements<br/>? Proven ability to work independently and as a team member<br/>? Ability to be proactive, flexible and work analytically in a problem-solving environment<br/>?
